Data Protection: 6 Smart Ways for Your Company to Do It

With cybercrime on the rise, and now international threats potentially affecting everyday Americans, it’s more important than ever for businesses to take data protection seriously.

Here are some smart ways to protect your data–from using strong passwords and encrypting your files to the installation of firewalls and anti-virus software. By taking these precautions, you can help keep your business safe from cyber-attacks.

Strong Passwords

When it comes to passwords, using a password manager is the best way to create and store passwords for all your accounts. This means you only need to remember one password to access all of your passwords. Some popular password managers include 1Password, LastPass, and KeePass.

Make sure the password manager you choose is encrypted. This means that your passwords will be protected if someone were to gain access to your password manager file. Also, make sure the password manager supports multiple devices.

This way, you can access your passwords from any device, whether it’s your computer, phone, or tablet. Finally, make sure the password manager has a strong password generator. This will create passwords that are difficult to guess and crack.

Encryption Software

Use encryption software to encrypt sensitive data on your computer. This will help to protect your information from unauthorized access. There are a number of different encryption programs available.  Some are free, while others have a fee. Be sure to select a program that meets your needs and is compatible with your computer system.

One popular encryption program is called TrueCrypt. It is free and can be used on a variety of different platforms. Another option is BitLocker, which is included with certain versions of Microsoft Windows. If you are looking for a commercial encryption program, PGP and Norton 360 are two of the major players.

When selecting an encryption program, be sure to consider the level of security that it provides. Some programs offer stronger security than others. Also, be sure to read the reviews before selecting an encryption program. This will help you make an informed decision about which program, so you can choose the one that best meets your needs. Encryption can take some time to complete if you’re doing everything in-house, so be patient.

Strong Password Architecture

When creating passwords, it is important to use a variety of different characters. This will make them more difficult to crack. Some tips for creating strong passwords include:

  • Using a combination of numbers, letters, and symbols
  • Making your passwords at least 8 characters long
  • Including both uppercase and lowercase letters
  • Avoid using easily guessed words or phrases
  • Adding random numbers and symbols to common words
  • Creating a phrase and converting it to a password (ex. My phone number is ###-###-#### becomes M9pV3#2)
  • Using a password manager to create and store strong passwords (see above, recommended!)

Deletion of Old Files

Do this regularly. It helps to ensure that hackers can’t access them if they gain access to your computer. There are a number of different ways to delete files from your computer. One popular method is to use a file shredder. A file shredder will overwrite the deleted files with random data, making them difficult to recover.

Another option is to use a secure deletion program. A secure deletion program will completely erase the files, making them impossible to recover. Finally, you can delete files manually. To do this, open the file explorer and locate the files you want to delete. Right-click on the files and select “delete.” This will send the files to the recycle bin. Once you have confirmed that the files are in the recycle bin, empty the recycle bin.

This will permanently delete the files from your computer. Keep in mind that if you delete a file manually, it can be recovered using data recovery software. For this reason, it is best to use a secure deletion program or file shredder for data protection.

Regular Backups

Be sure to regularly back up your data. This way, if your computer is lost or stolen, you will not lose all of your important information. There are a number of different ways to back up your data. One popular method is to use an external hard drive. Another option is to use a cloud-based storage service. These services allow you to store your data online, so you can access it from anywhere.

Finally, you can back up your data to a CD or DVD. This is a good option if you do not have an external hard drive or if you want to backup only certain files. Keep in mind that CDs and DVDs degrade over time, so it is important to back up your data frequently.

Take Updates Seriously

Many people do not realize the importance of installing security software on all their devices. They may think that it is only necessary to have security software on their computer. However, it is important to have security software on all of your devices, including your phone and tablet.

Hackers can target any type of device, and they are constantly finding new ways to exploit vulnerabilities. By having security software on all your devices, you can help to protect yourself from these attacks. If there’s a security patch of any kind, don’t wait. Download it, and install.

Vigilance is key. That’s especially true with the increasing likelihood of cyberattacks from foreign actors.
